1. Who we are

Joe Penny Media Ltd ("we", "us") is a UK video and photography business that creates content for businesses. We are the data controller for the personal information described in this policy.

2. What information we collect

When you book a call on this website, enquire through one of our Facebook or Instagram forms, send us a message or email us, we may collect:

• Your name, email address and phone number
• Your business name, and your business website or social media profile
• Your answers to our enquiry questions, such as your type of business, approximate monthly marketing budget and when you'd like to start
• The date and time of any call you book
• Anything else you choose to tell us in messages, emails or on calls

If you become a client, we also keep the details we need to deliver the work and invoice you, such as billing details and project information.

3. How we use your information

• To reply to your enquiry and arrange a call
• To understand your needs and send you a quote or proposal
• To deliver our services if you become a client
• To keep business, tax and accounting records
• To send you occasional updates or offers, only if you have agreed to receive them

4. Our legal basis

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we rely on:

• Legitimate interests: replying to enquiries you send us and following up on them
• Contract: providing services you have agreed to buy
• Legal obligation: keeping financial records
• Consent: sending marketing messages. You can withdraw consent at any time

5. Who we share it with

We do not sell your personal information. We share it only with trusted providers who help us run the business, and only as far as they need it:

• Calendly, which runs the booking calendar on this website, and Zoom, which hosts our calls
• Meta Platforms (Facebook and Instagram), which runs the forms and messaging you use to contact us
• Framer, which hosts this website
• Our email, calendar and cloud-storage providers
• Our accountant and accounting software, if you become a client

Some of these providers may process data outside the UK. Where they do, appropriate safeguards are in place, such as UK adequacy regulations or approved contract clauses.

6. Cookies

The booking calendar on this website is provided by Calendly, which may set its own cookies when it loads. You can control cookies in your browser settings.

7. How long we keep it

• Enquiries that don't go ahead: deleted within 12 months of our last contact
• Client records: kept for 6 years after the end of the financial year they relate to, as required for tax purposes

8. Photos and videos we create

When we film or photograph at a client's business, the client is responsible for getting permission from anyone who appears. We only use footage in our own portfolio or advertising with the client's agreement.

9. Your rights

You have the right to:

• Ask for a copy of the information we hold about you
• Ask us to correct or delete it
• Object to, or ask us to limit, how we use it
• Withdraw consent to marketing at any time
• Ask for your information in a portable format

10. Keeping it safe

We store information in password-protected accounts with two-factor authentication, and we only keep what we need.

11. Complaints

If you're unhappy with how we've handled your information, please contact us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
